Acomba X - Release Notes 2.4.0 (November 14, 2017)

New features

Configuration

  • Print Options / Account Statement: In the basic format, a logo can now be selected to be displayed in the account statement. Two new options can also be used to print or not print the background colour of the column headers.

General Ledger

  • List of Transactions report: The new Compact List option displays the information from the list in a more compact form in order to reduce the number of pages to print.

    Note: This option is available only if the list of transactions is Detailed.

  • Send to Accountant: When sending company data to the accountant, a specific fiscal year or all fiscal years can ow be selected.

Accounts Receivable

  • Credit History: This new report can be used to view various details on customers’ payment habits.
    For each customer, the report displays:

    • Information on the customer's credit line, NSF cheques, credit notices, etc.
    • Account statement balances per month, for the current year and the previous four years.
    • The total amount paid for the current year and the previous four years:
    • The total amount of purchases, the average payment period in number of days, interest charged, the total amount of adjustment transactions and the total amount granted in discounts for the current year and the previous four years.

Invoicing

  • Types of discount: In the invoice, order, open order and quotation, two new types of discount can now be applied.

    • Set Total Invoice at: Used to determine the discount by directly reducing the total amount of the invoice. The discount is calculated according to this new amount. For a rounding difference, an adjustment product is added to the transaction.
    • Discount Equivalent to Taxes: The discount corresponds to the amount of taxes. For a rounding difference, an adjustment product is added to the transaction.
  • Invoicing configuration: The Adjustment Product for Rounding Differences option is related to the establishment of a discount on the total invoice or a discount equivalent to taxes when entering an invoice, order, open order or quotation. The adjustment product is used if there is a rounding difference in the transaction after having applied the taxes.

  • Sales rep. statement: The customer’s name is now displayed for each transaction if the report is Detailed.

Inventory

  • Default Product file: A new function can be used to create a default file which contains the basic data of a Product file. When creating a new product, these basic data are automatically imported in the file. All that remains is to enter the data specific to the new product.

Invoicing, Inventory

  • Management of Prices Including Taxes: A new option can be used to manage prices with taxes included in invoicing.

    • In the Inventory -Prices configuration window, activate the Management of Prices Including Taxes option and define the Tax Groups Used to Calculate the Profit.
    • In the Product file > Price tab, the Taxes Included in Price option is used to include the taxes in the price of the product. The prices are then recalculated based on the boxes. The indication (Tx) is added in the Price column to show that the price includes taxes.
    • In the Invoicing window, if the price includes taxes:
      • The price is underlined in the Price column.
      • The title of the Subtotal column changes to Total and the amount is underlined.
      • The
        button changes to in the Taxes column to indicate that taxes are included in the price.

Improvements

Configuration

  • Print options / Delivery Slip: In the delivery slip print options (basic format), the new Print all Included Products check box is used to print on the delivery slip all products in the transaction, including additional products.

General

  • Navigating in files: In file windows, the navigation buttons respect the display order defined in the related list. For example, if the data from the Customer list are displayed by number, navigation in the Customer file will be determined based on the customer numbers.
    Note: The new navigation will also apply to Invoicing files in the next version.

Migration

  • Invoicing transactions: When migrating from Acomba to Acomba X, transactions from invoicing are migrated so that they can be included in the sending of account statements by email. The transaction detail will also be accessible for these transactions.

  • Pre-authorized debit (PAD): Acomba PAD data can now be migrated to Acomba X. This validation is available from Acomba (Info menu > About Acomba > Info button > Acomba X Compatibility tab).
    Note: The PAD function is not available in Acomba X. Only the history of PAD data is transferred.

  • Acomba X Compatibility: A new column has been added in the Acomba WRINFO window to indicate that the workstation has the recommended configuration for the client and server installation. This validation is accessible from Acomba (Info menu -> About Acomba -> Info button-> Acomba X Compatibility tab).

General Ledger

  • Financial reports: Various improvements have been made to these reports:

    • The period number is displayed in the header of all financial reports.
    • A new option can be used to add a Page Break Between the Main Sections in the Balance Sheet and Income Statement.
    • When producing a comparative report, subtotals and totals in the Balance Sheet and Income Statement are used to calculate the variation.
  • Format of a balance sheet/income statement: In a customized format, the percentage of the account balance can now be calculated according to the total assets for the balance sheet and the percentage of the account balance according to total sales for the income statement.

Invoicing

  • Invoice, Order, Open Order or Quotation: In these windows, double-clicking the price displays the product price list to select another price if necessary.

  • Invoice, Order, Open Order or Quotation: A number is now displayed to the left of each line of a transaction.

Inventory

  • Product file > Serial Numbers tab: Addition of a Reserved section for serial numbers. For each type of serial number (available, reserved, sold) columns have been added:

    • Available: For each serial number available, a purchase no. can be displayed in the Purchase No. column.
    • Reserved: For each reserved serial number, the number of the open order is displayed in the Open Order No. column. If this product comes from a purchase, the number is displayed in the Purchase No. column.
    • Sold: For each serial number sold, the invoice number is displayed in the Invoice No. column. If the product comes from an open order, the number is displayed in the Open Order No. column. If the product comes from a purchase, the number is displayed in the Purchase No. column.
    Note: Double-clicking an invoice, open order or purchase number displays the transaction detail.
  • Product file: Optimization of the Product file on opening in cases where the database contains a large volume of items and products.

Accounts Payable

  • Supplier Payment: Optimization of supplier payments:

    • Addition of a box to check or clear all transactions in the Supplier Payment window.
    • Addition of totals in the List of Payments on Hold.
    • Addition of the total amount in the List of Direct Deposits.
    • Addition of the total transactions in the Upcoming Payments report.
  • Detailed Purchase Statement: In the report, the Subtotal column has been added. It displays the amount of the transaction without taxes.

Corrections

Company

  • Government Taxes > Remittance Configuration tab: The Clic Revenu –Government Taxes configuration window is displayed properly when clicking the Configure button.

Accounts Receivable

  • AR Transfer Report: Reimbursements and payments associated with open orders are displayed correctly in the AR Transfer Report.

  • Receipt-AR Payment: A receipt can now be suspended or reactivated
    even if the entry mode is Per Date in Real Time.

  • Receipt-AR Payment: When entering a second receipt-AR payment, the Name field correctly displays the selected customer's name.

Invoicing

  • Profit Analysis Report: The profit analysis can now be produced according to the Average Cost.

  • Email Settings with the Outlook option: In certain cases, an invoice, order, open order or quotation could not be sent by email because of a symbol included in the company name (Configuration > Company Information). A correction has been made.

  • Non-Inventoried Product: In certain cases, a non-inventoried product could not be entered in the transaction. A correction has been made.

  • Print on Coupon: The time and product number are displayed correctly on the coupon.

  • Selecting Additional Products: The columns in this window can now be expanded so that the number and description of optional products are displayed in full.

  • Print Preview: When creating a transaction, the Preview window is displayed correctly.

Inventory

  • Receipt of Goods: When receiving goods, the characteristics of segmented products are displayed correctly in the window.

  • Inventory Value Report: The Quantity in Stock column has been adjusted to take into account certain situations.

Accounts Payable

  • Supplier Invoice > Select Purchases to be Invoiced button: When selecting purchases to invoice, the Use Quantities Received but not Invoiced option works properly.

  • Purchase Statement: In the report configuration window, if the Include Adjustments and Include Interest options are not checked, the adjustments and interest are not displayed in this report or in the Detailed Purchase Statement.
