Release Notes 1.20.0 – Acomba X (March 13 2017)

New features

General Ledger

  • Close Fiscal Year: This new function is used to manage the process of closing a fiscal year independent of the year-end change of period switch (from period 12 or 13 to period 1 of the next fiscal year). Therefore, the fiscal year which remained open can be closed later, after the adjusting entries have been entered.

Activities

  • Segmentation: The number of characters in activity numbers can now be increased, whether the activities are segmented or non-segmented. New segments can also be added.

    This can be particularly useful after migrating data from an accounting system to Acomba X.

Accounts Receivable/Accounts Payable/Invoicing

  • Sending by email: Various options have been added to send invoices, account statements and payment statements by email.

    First, in the Customer file and Supplier file, several types of address can be defined so that the email is sent to a specific recipient.

    For example, when sending an invoice, simply check the Invoicing recipient for the invoice to be sent to the person concerned.

    In addition, in the list of recipients, an email address other than the ones proposed can be entered to send the email (Invoicing module only).

Accounts Receivable/Accounts Payable

  • Reversing a transaction : Invoice, Credit, Interest and Adjustment transactions can be reversed, whether or not they are transferred to the general ledger.
    • If the original transaction is an invoice, an adjustment or an interest charge, the reversal generates a credit.
    • If the original transaction is a credit, the reversal generates an adjustment.
    • A payment is created following a reversal.
    • The date of the transaction generated by the reversal is the same as that of the original transaction.
    • In the original transaction, the indication “Reversed” is added in red beside the name of the transaction. Example: Invoice (Reversed).
    • Transactions generated by a reversal are considered in the AR Transfer report or the AP Transfer report, as applicable.

Invoicing

  • Invoicing - Display transaction detail: In the invoice, the new button is used to display the transaction detail in order to view the accounting entry generated by the invoice.

    In the transaction detail, the information is divided into three groups: Sales, Receipts and Inventory. An indication is added if the transaction is to be transferred to the general ledger (AR Transfer report, AP Transfer report and Closing Inventory report).

Improvements

Configuration:

  • Sending by email: In the email configuration window, the MAPI and Outlook messaging options have been added for sending emails.

    • MAPI: The email software installed on the workstation is used for sending emails.
    • Outlook: Outlook is used for sending emails.

General Ledger

  • Financial account and non-financial account: In these account files, Balance tab, clicking the balance of a period displays the List of Accounts with Transactions report. This report displays all transactions related to the periodic balance of the account.
  • Opening balances in reports: The opening balances are taken into account during the production of various reports for a future fiscal year.

Corrections

Accounts Receivable

  • AR Payment applied as a penalty: A Credit or a Deposit can now be applied as a penalty.

Accounts Payable

  • Invoice and credit: When entering an invoice or a credit, the system validates the transaction number entered as soon as the user exits the field and the field is framed in red if the number already exists.

Inventory

  • Purchase: The width of columns in the Purchase window can now be adjusted.
